Marcos Quay — Two phases, one system for events, training and registrations
Before

What they were running on

  • Registrations collected through forms and messages
  • Training schedules maintained separately from event calendars
  • Resource and coach allocation planned manually
The problem

Why it had to change

A training business lives or dies on utilisation — coaches, courts, time slots. When registrations, schedules and resources are tracked in different places, you either over-book and disappoint people or under-book and lose revenue. Marcos Quay needed the three to be one thing.

What we built

The solution

  • Event scheduling with participant registration attached, not bolted on
  • Training programme management with cohort and progress tracking
  • Resource allocation across coaches, venues and time slots
  • Groundwork laid for a student–parent portal as the next phase
The part everyone asks about

How we switched them over

Historic participant and programme records were imported at the start of phase one. Phase two extended the same system rather than replacing it, so nobody had to learn a second tool.
